An appeal letter is a formal request for a decision to be reviewed. In Malaysia, appeal letters are commonly used to contest university admission or UPU outcomes, scholarship and education loan decisions, to request a reduction of a fine or compound, to appeal a school or workplace transfer, a rejected job application, or a decision by a bank or government agency.
An effective appeal letter must identify the original decision precisely: state the reference number, identification or account number, the date of the decision and the matter being appealed. Then present your grounds honestly and in an orderly way, for example the family's financial situation, health problems, recent examination results, or new information that was not considered in the original decision. Each ground should ideally be supported by documents such as pay slips, medical reports, result slips or confirmation letters.
Keep the tone courteous and humble without blaming the decision maker. State clearly what you are asking for, whether reconsideration, a reduced amount or a second chance, and submit the letter within the appeal window if one applies. For UPU and scholarship appeals, check whether the appeal must be lodged through an official portal and use this letter as an attachment or supporting document.
